AI-VA is an Australian voice-agent specialist. We collect only what we need to talk to you and deliver our services. We use enterprise AI tiers that don't train on your data. We follow the Australian Privacy Principles. Below is the detail.

1. Who we are

AI-VA ("we", "us", "our") is an Australian-based AI voice-agent consultancy. We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. What we collect

  • When you request a demo: name, work email, phone, company, the brief details you choose to share.
  • When you call us: your caller ID and what you tell us. We do not record calls without consent.
  • When you visit ai-va.au: standard analytics — pages viewed, approximate location (city level), browser type, referring source.
  • During a build engagement: business information needed to scope and deliver your voice agent. We avoid collecting personal information about your customers unless strictly required for the agent's function.

We do not knowingly collect information from anyone under 18.

3. Voice call data (handled by your AI agent)

When your AI voice agent goes live, it will inevitably process personal information from callers (names, contact details, call content). Important notes:

  • You are the data controller. Your privacy notice governs caller data. We process on your behalf.
  • Caller notification of recording is built into every agent's opening line by default.
  • Audit logs are retained according to your configured retention policy.
  • Data residency defaults to AU regions (AWS Sydney). On-prem or private-cloud deployment available for regulated workloads.
  • Enterprise AI tiers only. OpenAI, Anthropic, Google Vertex, ElevenLabs — all contractually do not train on your data.

4. How we use your information

  • Respond to enquiries and arrange demos.
  • Prepare quotes and proposals.
  • Deliver and support the voice agent you've engaged us for.
  • Send occasional service-related communications.
  • Improve our website through aggregated analytics.
  • Meet our legal, tax and regulatory obligations.

We do not use your information for marketing without consent. We don't add you to mailing lists unless you ask.

5. Sharing and disclosure

We do not sell your information. We share it only in limited cases:

  • Service providers (email, CRM, accounting) bound by confidentiality.
  • AI model providers via enterprise APIs (no training on your data).
  • Telephony providers (Twilio) for call routing.
  • Legal requirements if compelled by law or regulator.

6. Storage and security

Stored on AU or trusted overseas cloud (AWS Sydney by default). Encryption in transit (TLS) and at rest. Least-privilege access. Retained only as long as needed; deleted or anonymised when no longer required.

7. Cookies

Minimal essential cookies for site functionality and aggregated analytics. No third-party advertising trackers. You can disable cookies in your browser without breaking the site.

8. Your rights

Under the Privacy Act you may:

  • Access the personal information we hold about you.
  • Correct inaccurate or out-of-date information.
  • Request deletion where we're not legally required to retain.
  • Opt out of non-essential communications.
  • Lodge a complaint with us or with the Office of the Australian Information Commissioner (OAIC).

We may update this policy occasionally. The "last updated" date at the top reflects the latest version. Material changes will be flagged on our home page for at least 30 days.
